Kipepeo Pathways Booking Terms & Conditions

By booking a program with Kipepeo Pathways, you (the “Participant”) agree to these Terms and Conditions. Please read them carefully.
- Introduction
Kipepeo Pathways provides ethical, community co-owned voluntourism experiences in Kenya and the East African Community. These Terms govern all bookings, payments, and participation in our programs.
- Booking Process & Confirmation
- A booking is confirmed only when we receive your completed application form, signed Volunteer Code of Conduct, Parental/Guardian Consent Form (if applicable), and the required deposit.
- We will send a confirmation email with program details, invoice, and next steps.
- All bookings are subject to availability and community approval.
- Payments & Pricing
- Deposit: 30% of the total program fee is due within 7 days of confirmation to secure your place.
- Balance: The remaining 70% is due 60 days before the program start date.
- Prices are in USD and include:
- Program activities and coordination
- Accommodation and meals as specified
- Airport transfers
- Local transportation to project sites
- Impact tracking and post-program report
- Prices exclude: International flights, travel insurance, visas, personal expenses, and optional add-ons (internships/mentorship).
- Cancellation Policy
- More than 90 days before start: Full refund minus $150 administration fee.
- 60–90 days before start: 50% refund of total fee.
- 30–59 days before start: 25% refund of total fee.
- Less than 30 days or no-show: No refund.
- Exception: Full refund (minus $150) if we cancel the program for any reason.
We strongly recommend purchasing comprehensive travel insurance that covers cancellation, medical emergencies, and repatriation.
- Changes, Transfers & Date Changes
- You may request a date change or program transfer up to 60 days before departure (subject to availability and a $100 change fee).
- We reserve the right to make minor changes to the itinerary for safety, weather, or community needs. Significant changes will be communicated immediately.
- Health, Safety & Insurance (Mandatory)
- Participants must have valid travel insurance covering medical evacuation, repatriation, and voluntourism activities (minimum USD 100,000 medical coverage).
- All required vaccinations and malaria prophylaxis are the Participant’s responsibility.
- You must be physically and mentally fit for the program. We reserve the right to refuse participation if we believe your health or behaviour poses a risk.
- Volunteer Code of Conduct & Ethics
- All participants must read, sign, and follow our Volunteer Code of Conduct, Our Ethics page (including No Orphanages, No Photo Exploitation, and Zero Tolerance for Voluntourism Washing policies), and the relevant Program Manual.
- Breach of these policies may result in immediate removal from the program without refund.
- Liability & Release
- Kipepeo Pathways and its partners act only as facilitators. We are not liable for any loss, injury, damage, or delay caused by third parties, acts of God, political unrest, or your own actions.
- You participate at your own risk. By booking, you release Kipepeo Pathways, its staff, coordinators, and partner communities from all claims arising from your participation (except in cases of gross negligence or wilful misconduct).
- Force Majeure
We are not liable for failure to perform due to events beyond our reasonable control (e.g., natural disasters, pandemics, war, strikes, or government restrictions). In such cases, we will offer a transfer to a future date or a partial credit.
- Complaints & Dispute Resolution
- Any concerns must be reported immediately to your local coordinator.
- Formal complaints must be submitted in writing within 14 days of program completion.
- Disputes will be governed by the laws of Kenya and resolved through mediation in Nairobi before any court action.
- Governing Law
These Terms are governed by the laws of the Republic of Kenya. The courts of Kenya shall have exclusive jurisdiction.
